Promoting Your Occupational Immunisation Clinic

Now your occupational immunisation clinic has been scheduled, it’s time to promote the clinic to staff. In this section, we’ve included resources to assist you with promoting the clinic and to encourage staff to make an appointment for their iummunissation.
1. Email your staff
Let your staff know that online appointments are open by emailing the below template:
Dear Colleagues,
As part of our commitment to your health and wellbeing, we are offering free [INSERT ILLNESS NAME] immunisation clinics for all staff. We have organised VaxWorks Health Services to attend onsite for an immunisation clinic at the following time:

Vaccination plays a vital role in helping protect yourself and your loved ones. As you probably know, illnesses can spread quite easily at work. Some people can become seriously ill and may need to take time off work, or miss family functions, because they’re feeling too unwell.
You can help prevent the spread of illness by getting vaccinated.

Appointments are made on a first come, first served basis, so please get in early if you are looking for a specific timeslot.

2. Create your clinic poster with QR code
Print multiple copies of your customised clinic poster with the QR code and put them up around the office. This allows staff to conveniently use their phones to scan the QR code and be taken directly to the online appointment site to make their appointment.
If your staff are unlikely to book their own appointments, set up a ‘Registration Table’ onsite or schedule a staff member to walk around the workplace to assist with appointments.
3. Add images/info to your intranet
Promotion pays off: the more you promote your clinic, the more likely you are to get a strong uptake from staff. Try using these images:
- On the home page of your intranet, with a link through to the online appointment site.
- Around the office on posters/bulletin boards with information.
- Liaise with your IT Department and create a ‘Countdown Campaign’ to boost visibility and create awareness of how many days until the flu clinic.
- Add some images to your email footers leading up to the clinic
